These Terms of Service (“Terms”) govern your access to and use of Kanso Flow's mobile application, website, and related services (collectively, the “Services”). By using our Services, you agree to be bound by these Terms. If you do not agree to these Terms, you may not use our Services.

1. Acceptance of Terms

By accessing or using Kanso Flow, you agree to comply with and be bound by these Terms and our Privacy Policy. We reserve the right to modify these Terms at any time. Your continued use of the Services after changes are posted constitutes acceptance of the modified Terms. We will notify you of material changes via email or in-app notification.

2. Description of Service

Kanso Flow provides a cloud-based point-of-sale (POS) system designed for laundromats and dry cleaning businesses. Our Services include:

  • Mobile POS application for iOS devices
  • Order management and tracking
  • Visual garment tracking with photo documentation
  • Customer communication tools (SMS notifications)
  • Payment processing integration
  • Reporting and analytics
  • Cloud data synchronization
  • Unlimited agent/user accounts per location

3. Bring Your Own Device (BYOD) Model

Kanso Flow operates on a Bring Your Own Device (BYOD) model. This means:

What Kanso Flow Provides

  • The Kanso Flow mobile application (software)
  • Cloud infrastructure and data storage
  • Customer support and software updates
  • Integration with third-party services (payment processors, SMS providers)
  • All software features included in your subscription

What You Provide

  • Compatible iOS device(s) (iPhone or iPad)
  • Internet connectivity (Wi-Fi or cellular data)
  • Any hardware peripherals you choose to use (receipt printers, barcode scanners, label printers)
  • Device maintenance, repairs, and replacements

Hardware Responsibility

You are solely responsible for the procurement, setup, maintenance, and replacement of all hardware devices used with Kanso Flow. We do not provide, lease, sell, or support hardware devices. We provide documentation and guidance for compatible devices, but we do not guarantee compatibility with all hardware configurations.

  • Freedom to choose your own hardware upgrades

4. Subscription & Pricing

4.1 Subscription Plans

Kanso Flow POS System

$150per month per location

Includes:

  • Full POS functionality
  • Unlimited agent/user accounts
  • Visual garment tracking
  • Cloud sync and backup
  • Customer support
  • All software updates

Launch Promotion: 50% Off First Year

New customers receive 50% off for the first 12 months of service. Your subscription will be billed at $75/month per location during the promotional period. After 12 months, your subscription will automatically renew at the standard rate of $150/month per location unless canceled.

4.2 Additional Services

  • Branded Website: $350 one-time setup fee (optional)
  • SMS Messaging: Usage-based pricing (see SMS pricing page for current rates)

4.3 Billing & Renewal

  • Subscriptions are billed monthly in advance.
  • Payment is due on the same day each month as your initial subscription date.
  • By providing a payment method, you authorize us to charge the subscription fee automatically each billing period.
  • Subscriptions automatically renew unless canceled before the renewal date.
  • Prices may be adjusted with 30 days' prior notice.

4.4 Refunds

Subscription fees are non-refundable except as required by law. If you cancel mid-billing period, you retain access until the end of that period, but no partial refunds will be issued.

5. Fair Use Policy (Unlimited Agents)

Kanso Flow offers “Unlimited Agents” as part of our subscription, allowing you to add as many user accounts as needed for your business operations. This feature is subject to the following Fair Use Policy:

Intended Use

The Unlimited Agents feature is designed to support legitimate business operations at your subscribed location(s). This includes employees, managers, and staff members who work at your laundromat or dry cleaning business.

Fair Use Guidelines

  • Agent accounts should correspond to actual employees or contractors working at your business
  • Each agent account should be used by a single individual
  • Agent accounts should not be shared with external parties or businesses not covered by your subscription
  • The feature should not be used to provide POS services to third-party businesses

Prohibited Uses

  • Reselling or sublicensing access to Kanso Flow through agent accounts
  • Creating agent accounts for businesses not covered by your subscription
  • Using automated systems to create or manage excessive agent accounts
  • Any use that circumvents the per-location pricing model

Enforcement

We reserve the right to monitor account usage patterns. If we determine that your usage violates this Fair Use Policy, we will contact you to discuss the situation. Continued violation may result in account suspension or additional charges for extra locations at our standard per-location rate.

6. Account Registration & Eligibility

6.1 Eligibility

You must be at least 18 years old and capable of forming a binding contract to use our Services. By registering, you represent that you meet these requirements and have the authority to bind your business to these Terms.

6.2 Account Information

You agree to provide accurate, current, and complete information during registration and to update this information as necessary. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

6.3 Account Security

You must immediately notify us of any unauthorized access or use of your account at security@kansoflow.com. We are not liable for any loss or damage arising from your failure to maintain account security.

7. Acceptable Use

You agree not to:

  • Use the Services for any illegal purpose or in violation of any laws
  • Interfere with or disrupt the Services or servers or networks connected to the Services
  • Attempt to gain unauthorized access to any portion of the Services
  • Use the Services to transmit viruses, malware, or other harmful code
  • Impersonate any person or entity or misrepresent your affiliation
  • Harvest or collect information about other users without their consent
  • Use the Services to send spam or unsolicited communications
  • Reverse engineer, decompile, or disassemble the Services
  • Use automated systems (bots, scrapers) to access the Services without permission

8. Intellectual Property

8.1 Our Intellectual Property

The Services, including all software, design, text, graphics, logos, and other content, are owned by Kanso Flow and protected by copyright, trademark, and other intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to use the Services for your business purposes only during your active subscription.

8.2 Your Content

You retain ownership of all data, content, and information you submit to the Services (“Your Content”). By using the Services, you grant us a license to use, store, process, and display Your Content solely to provide the Services to you.

9. Data Processing & Privacy

As a POS system, you use our Services to process customer data on your behalf. You are the data controller, and we are the data processor. You are responsible for:

  • Obtaining appropriate consent from your customers to collect and process their data
  • Complying with all applicable data protection laws (GDPR, CCPA, etc.)
  • Providing privacy notices to your customers about data collection and use
  • Ensuring you have the legal basis to send SMS messages to your customers

Our processing of customer data is governed by our Privacy Policy.

10. Cancellation & Termination

10.1 Cancellation by You

You may cancel your subscription at any time through your account settings or by contacting customer support. Cancellation takes effect at the end of your current billing period. There are no cancellation fees or penalties.

10.2 Termination by Us

We reserve the right to suspend or terminate your access to the Services at any time for:

  • Violation of these Terms
  • Non-payment of fees
  • Fraudulent or illegal activity
  • Violation of the Fair Use Policy
  • Misuse of the Services

10.3 Effect of Termination

Upon termination, your right to use the Services will immediately cease. We will delete or anonymize your data within 90 days of termination, except where retention is required for legal, tax, or accounting purposes. You may request a data export before termination.

11. Disclaimers & Limitations of Liability

11.1 Service Availability

We strive to provide reliable Services, but we do not guarantee uninterrupted or error-free operation. THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED.

11.2 Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, KANSOFLOW SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITIES ARISING OUT OF YOUR USE OF THE SERVICES. Our total liability to you for all claims arising from your use of the Services shall not exceed the amount you paid us in the 12 months preceding the claim.

11.3 Hardware Disclaimer

Under our BYOD model, we are not responsible for any hardware failures, compatibility issues, or device malfunctions. You are solely responsible for maintaining and replacing your own devices.

12. Dispute Resolution

12.1 Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law provisions.

12.2 Arbitration

Any dispute arising out of or relating to these Terms or the Services shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association. The arbitration shall take place in San Francisco, California.

12.3 Class Action Waiver

You agree to resolve disputes on an individual basis only and waive any right to participate in a class action lawsuit or class-wide arbitration.

13. General Provisions

13.1 Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Kanso Flow regarding the Services.

13.2 Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

13.3 Waiver

Our failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision.

13.4 Assignment

You may not assign or transfer these Terms without our prior written consent. We may assign these Terms without restriction.
